GOHIGHLEVEL WORKFLOW OPTIMIZATION & TROUBLESHOOTING

GoHighLevel Workflow Optimization & Troubleshooting

Fix broken automations. Simplify your setup. Understand what happens next.

Your business has changed. Different developers have worked on the account. New workflows have been added, old pipelines are still there, and it’s becoming harder to explain what happens when a lead enters the system.

Perhaps something has stopped working. Perhaps the automations still run, but the process no longer makes sense.

I help businesses and agencies review their existing GoHighLevel setup, investigate problems, and simplify workflows and pipelines around how their business operates today.

WHEN THE SETUP GETS COMPLICATED

Does this sound like your account?

You don’t always need another automation. Sometimes you need to understand the ones already running.

  • Several people have built different parts of the system. Each person added something, but there’s no clear explanation of how it all fits together.

  • Your workflows are difficult to follow. You’re unsure which ones are active, necessary, outdated, or connected to another process.

  • Your pipelines no longer reflect your sales process. Stages have accumulated, and the team isn’t clear about what moves a lead forward.

  • The customer journey feels inconsistent. A form, email, appointment, or stage change doesn’t produce the action you expected.

  • You’re hesitant to change anything. Removing one step could affect something elsewhere.

  • You rely on a developer to explain your own setup. You want a system your team can understand and work with confidently.

The first step is to establish what should happen, compare it with what currently happens, and identify the changes that matter.

THE WORK

What I review and improve

Workflow structure and logic

I review how contacts enter workflows, the conditions they pass through, the actions that follow, and when they should leave. The aim is to identify unnecessary steps, overlapping processes, or logic that no longer matches your requirements.

Does this workflow still serve a clear business purpose?

Pipelines and opportunity movement

I review pipeline stages alongside the process your team actually follows: how opportunities are created, what moves them forward, and where manual actions fit.

Can your team understand each opportunity’s position and next step?

Forms and the actions that follow

I check how an enquiry is recorded, whether an opportunity is created, which communication is triggered, and how the lead enters follow-up.

Does a new enquiry reach the right place and start the intended process?

Email and follow-up sequences

I review who receives each sequence, when messages are sent, and which events should change or stop follow-up. Where included, that covers replies, bookings, stage changes, and purchases.

Is this person receiving the right communication for where they are now?

Troubleshooting specific failures

We can scope problems such as missing form actions, incorrect opportunity stages, overlapping messages, bookings that don’t start the next steps, or sales follow-up continuing after a purchase. The cause and fix depend on your account.

Where does actual behaviour diverge from the intended journey?

Cleanup and documentation

I document the agreed changes and walk you through the revised process, including the steps your team still needs to manage.

Can you understand and operate the system after delivery?

UNDERSTAND BEFORE CHANGING

Before anything is removed, we need to understand what depends on it.

A workflow can look unnecessary and still support another part of your process. We establish what needs to stay, what needs correcting, and what can be simplified before implementing the agreed changes.

AN ACTUAL PROJECT · CLIENT ANONYMOUS

Simplifying an account built by several developers

The situation

A client had an existing GoHighLevel account with numerous automations and pipelines. Several developers had worked on the system over time, adding their own contributions.

The resulting setup had become difficult to understand. Some parts of the flow no longer made sense for the business, and the client wanted the account reviewed and optimized.

My work

I reviewed how the workflows and pipelines connected, optimized the process, and removed unnecessary parts of the flow. Testing covered form submissions, pipeline changes, emails, and connected automations.

The delivered outcome

The setup was simplified, and the client gained a clearer understanding of what was happening inside the account.

This example describes delivered work. No revenue or conversion uplift is claimed.

A CLEAR PROCESS

How we work together

01

Free initial conversation

We discuss your setup, the problems you’re seeing, and what you want to improve. This helps establish whether you need a focused repair, a broader review, or a larger optimization project.

02

Scoped, paid investigation

After understanding the requirement, I quote the investigation. With account access and business context, I review relevant workflows, pipelines, and connected steps. This is paid work, separate from the introductory call.

03

Agreed changes and timeline

We define what will be corrected, simplified, removed, or rebuilt. You receive an agreed implementation scope and timeline before that work begins.

04

Implementation and journey testing

I make the agreed changes and test the affected process from its starting event through the expected next steps.

05

Walkthrough and documentation

You receive an explanation of the revised system and documentation covering how it works. Continued maintenance or further development is quoted separately.

CHECK THE WHOLE JOURNEY

Testing follows the customer journey

A workflow being switched on doesn’t tell us whether the complete process behaves as intended. For the journeys included in your project, testing can cover:

Form submission

The enquiry is recorded and the intended automation starts.

Opportunity creation

The opportunity appears in the expected pipeline and stage.

Email actions

The intended email action executes for the correct contact. Delivery issues are investigated where relevant.

Stage changes

The expected movement happens and connected actions behave correctly.

Appointment booking

The booking starts the next steps defined in your process.

Follow-up exit conditions

Contacts stop receiving a sequence when the agreed exit event occurs.

Connected workflows

Changes don’t create an unintended result in another tested part of the journey.

The testing scope is agreed around the work being delivered.

BEFORE WE BEGIN

Questions before we begin

Yes. The work starts with understanding the existing setup and its connections. The project above involved an account that several developers had contributed to over time.

The investigation helps establish that. The scope should reflect what your business needs, whether that is correcting a specific issue, simplifying several workflows, or rebuilding part of the process.

Yes. We can scope an investigation around a defined issue. Connected processes may also need reviewing to identify the cause.

The initial discussion is free. Reviewing the account and investigating its technical behaviour is a paid project, quoted according to scope.

Yes. Delivery includes a walkthrough and documentation so you can understand the revised process and how to use it.

If an issue is attributable to the work I delivered, I’ll correct it at no additional charge. New requirements, changes made by others, and ongoing maintenance are scoped separately.

Yes. Ongoing support is quoted separately based on the level of help and work required.
