From Enquiry to Purchase: A GoHighLevel Automation System for a Cleaning Business
Connecting lead capture, educational follow-up, AI messaging, call scheduling, and payment-based conversion.
For this cleaning-business project, I built a GoHighLevel system that connected the initial enquiry with the steps leading towards a purchase. Follow-up changed as prospects booked a call or bought a package.

The requirement
Connect the enquiry with what happens next.
The project needed a process for handling prospects at different stages of their decision. Someone submitting an enquiry might need more information. Someone who had booked a call needed a different next step.
A prospect who had already spoken with the team but had not purchased needed follow-up that acknowledged that conversation.
The implementation connected these situations inside GoHighLevel, using customer actions to determine the next stage and the appropriate communication.
What I built
Follow-up that responds to customer actions
Form submissions connected to the pipeline
When someone submitted the enquiry form, their details were added to the lead list and an opportunity was created. Once the initial automated email was sent, the opportunity moved to In Process. This indicated that the email had been sent—not that the prospect had read it or spoken with the team.
Educational follow-up before booking
For leads who had not scheduled a call, the system continued sending educational emails. The content explained the importance of cleaning, introduced the company, and described the value of its services. This sequence stopped when the prospect booked a call.
Booking connected to a stage update
A booked call moved the opportunity to Scheduled. The same event stopped the pre-booking educational sequence, keeping the follow-up aligned with the step the contact had already taken.
A separate sequence after the conversation
Some prospects spoke with the team but did not purchase immediately. For these leads, a separate email sequence followed after approximately one week, referring back to the conversation and continuing the follow-up.
AI messaging for incoming questions
I configured an AI messaging agent with information about the business and its services. When leads sent text enquiries, it responded automatically using that information and the company’s communication style. It supported prospect-led questions alongside the planned email sequences.
Payments connected to conversion and workflow exits
Customers could select a service package and purchase through the payment gateway connected to GoHighLevel. A successful purchase marked the opportunity as Converted and removed the contact from the lead follow-up workflows, stopping further sales follow-up emails.

How the customer journey works

Illustrative walkthrough · not live customer activity
A contact enters the lead process
The enquiry form adds the contact to the lead list and creates an opportunity. Select a stage to explore it, or play the walkthrough.
↔ AI messaging alongside the journey
Whenever a lead sends a text enquiry, the AI agent can respond using the business information supplied. It is a parallel conversation channel, not a required pipeline stage.
↗ Purchase can happen earlier
A customer can buy before completing every step. A successful package purchase marks the opportunity Converted and stops lead follow-up.
Ready to explore.
The main path illustrates a lead who books, speaks with the team, receives follow-up, and later purchases. The waiting period is approximately one week after the conversation if still unconverted. Animation timing is compressed for explanation.
Triggers and outcomes
What changes at each step
| Customer event or condition | System action |
|---|---|
| Enquiry form submitted | Adds the contact to the lead list and creates an opportunity. |
| Initial automated email sent | Moves the opportunity to In Process. |
| Call not yet booked | Continues educational follow-up. |
| Call booked | Moves the opportunity to Scheduled and stops educational emails. |
| Conversation completed without a purchase | Uses a separate follow-up sequence after approximately one week. |
| Text enquiry received | AI messaging responds using the supplied business information. |
| Package purchased successfully | Marks the opportunity Converted and stops lead follow-up workflows. |
The purchase condition applies whenever a customer buys a package. They do not need to finish every follow-up step before converting.
An example of the experience
A journey with the right stopping points
A prospect submits the cleaning enquiry form. The system creates the opportunity, sends the initial email, and moves it to In Process.
They receive educational emails while considering the service. They send a text question, and the AI messaging agent responds using the business information provided.
They book a call. The opportunity moves to Scheduled, and the educational sequence stops. After speaking with the team, they take more time to decide. Approximately one week later, the separate post-call follow-up begins.
When they purchase a package through the service page, the opportunity becomes Converted, and the remaining lead follow-up emails stop.
This example illustrates the implemented journey; it is not a record of a specific customer’s activity.
Delivered functionality
One connected lead-to-sale process
- Form submissions connected to a lead list and pipeline
- Educational follow-up before a call is booked
- AI messaging for incoming lead questions
- Successful purchases marked as Converted
- Pipeline updates driven by email sending, booking, and purchase
- Separate follow-up after the conversation
- Service packages connected to payments
- Workflow exits when leads book or purchase
This case study documents the functionality delivered. It does not claim a measured increase in bookings, revenue, or conversion rate.
My takeaway
Define when follow-up should stop.
The starting trigger is only one part of an automation. For this project, the exit conditions were just as important. A booked call ended the educational sequence. A completed purchase ended the lead follow-up workflows.
Those rules kept communication connected to the customer’s current stage and gave each pipeline update a clear meaning.
